Why mechanical records are the thinnest part of most files
Furnaces, ventilators, humidifiers, hot water plant and controls are replaced on their own timetable, often urgently and often by whoever was available. The result is that a large house may have excellent architectural documentation and almost nothing describing the plant that keeps it habitable through an Edmonton winter.
That gap has consequences at sale. A buyer's advisor asks what is installed, when, by whom and under what permit, and the answer 'the furnace was done a few years ago' is not evidence. Building the mechanical record is the cheapest documentation work an owner can do.
Section 02
Documented: what the permit record covers
The City's residential heating and ventilating permit page sets out the work that requires a permit — mechanical work of the kind involved in furnace and ductwork installation and ventilation systems — and how the permitted work is inspected. The file shows the described scope, the permit dates, the contractor, and the inspections recorded.
Where a permit accompanied a renovation, it usually sits alongside building, electrical and plumbing permits for the same project, and reading them together shows the true extent of what was done. An isolated mechanical permit with no companion records is itself informative and worth asking about.
Section 03
Not documented: performance and adequacy
The permit record does not state whether the system heats every room evenly, whether ventilation rates suit the household, whether ductwork was balanced, whether the equipment is correctly sized for a house that has since been extended, or how much life remains in any appliance. The City's inspections are described as a point-in-time audit against minimum safety standards and differ from third-party home inspections.
Nor does the record capture the many changes made without a permit requirement — a control replaced, a register added, a filter arrangement altered. Those accumulate into how a house actually performs, and only measurement and examination reveal them.
Heating and ventilation performance is property-specific and is assessed by a qualified mechanical contractor, not inferred from a permit record.
Section 04
The equipment inventory that should exist and usually does not
Build a single table: each appliance and major component, its make and model, its serial number, its location, its installation date if known, the installing contractor, the permit reference if any, the service history and the warranty position. Photograph every data plate; serial numbers vanish behind cabinetry and corrode in mechanical rooms.
In a house with zoning, in-floor heating, heat recovery ventilation, snowmelt or a pool plant, add the control documentation and any commissioning report. Commissioning reports are the closest thing to evidence of performance at installation, and they are frequently the only such document that ever existed.
Section 05
The evidence request list
Request: the heating and ventilating permit history for the address with inspection status; companion building, electrical and plumbing permits for the same projects; the equipment inventory with model and serial identification; installation invoices and any commissioning or balancing report; the annual service log for each appliance; warranty documents and their transferability terms; and a written seller statement on any mechanical work without a permit record.
Then have a qualified mechanical contractor examine the plant, and ask specifically about capacity for changes you intend, such as finishing a lower level, adding cooling or altering the building envelope. Ask for the findings in writing with a stated scope.
Section 06
Handover: what a considered owner passes on
The mechanical pack holds the permit history, the inventory, the service log, commissioning and balancing documentation, filter and consumable specifications, control system credentials and manuals, and the contact details of the trades who know the building.
The last item matters more than owners expect. Where a plant is unusual, continuity of the people who have serviced it is genuinely valuable to a purchaser, and a documented relationship is a legitimate thing to hand over, unlike an assurance about how well the system performs.
Section 07
Escalation triggers
Engage a qualified mechanical contractor before purchase where the house has been extended since the plant was installed, where zoning or in-floor systems are present, where a lower level has been finished, or where any combustion appliance is of uncertain age or venting arrangement. Address any concern about combustion safety, venting or carbon monoxide immediately with the appropriate qualified party and, where there is an immediate hazard, the emergency services.
Engage an energy or building science professional where comfort problems persist despite serviceable equipment, because the cause is often the envelope rather than the plant. Nothing on this page assesses any system or reaches a conclusion about safety at any address.
